At Headshot, we want your experience to be exciting, not your privacy policy.
This Privacy Policy explains what information we collect, why we collect it, how we use it and the choices you have when you use our website, create a player account, make a booking, participate in games, appear on our leaderboard, communicate with us or visit a Headshot location.
For this Privacy Policy, “Headshot”, “we”, “our” and “us” refer to Headshot and the business operating the Headshot brand.
By using our website or services, you acknowledge the practices described in this Privacy Policy.
1. INFORMATION WE MAY COLLECT
Depending on how you use Headshot, we may collect information such as:
Personal information
Your name, mobile number, email address, date of birth or age, username, profile photograph and other information you choose to add to your account.
Booking information
Booking date, preferred time, package selected, number of players, group details, special requests and information necessary to manage your booking.
Player and game information
Matches played, wins, losses, points, headshots, achievements, ranks, match history, penalties, disciplinary records and other gameplay statistics.
Account information
Username, account settings, authentication information and information associated with your Headshot player profile.
Passwords are intended to be stored using secure authentication systems and not as readable plain text.
Payment information
When you make a payment, information relating to the transaction may be processed by our payment service provider.
Headshot does not intend to store your complete debit card, credit card, UPI PIN or other sensitive payment credentials on its own servers.
Communications
Messages or enquiries you send through WhatsApp, email, contact forms, social media, customer support or other communication channels.
Website and device information
We may automatically receive information such as your IP address, browser type, device type, operating system, pages visited, referral source and general website activity.
Photos and videos
Headshot may photograph or record games, events or activities at our premises. Where required, appropriate notice or consent will be obtained before such material is used for promotional purposes.
CCTV
Our premises may use CCTV for safety, security, theft prevention, incident investigation and protection of players, staff and property.
CCTV footage is not intended to be used for unrelated marketing purposes.

3. PLAYER PROFILES AND LEADERBOARD 🏆
Headshot may include public or semi public gameplay features such as player profiles, rankings and leaderboards.
Depending on your account settings and the features available, other users may be able to see information such as your:
Display name or username
Profile photograph or avatar
Player rank
Points
Match statistics
Achievements
Wins and losses
Gameplay history or selected gameplay information
We do not intend to publicly display your private contact information such as your phone number, email address, payment information or home address as part of the leaderboard.
Headshot may reset, correct, suspend or remove leaderboard records where reasonably necessary to correct errors, prevent manipulation, address cheating or enforce platform rules.
4. MATCHMAKING AND PLAYER INTERACTIONS
If Headshot provides matchmaking, team formation or player discovery features, certain profile information may be shown to other participating players to enable those features.
Only information reasonably required for the relevant feature should be displayed.
Users should avoid putting sensitive personal information in usernames, biographies, photographs or other publicly visible parts of their profiles.
5. BOOKINGS MADE FOR OTHER PEOPLE
If you make a booking on behalf of friends, family members, colleagues, students or other players, you should only provide information about them that is reasonably necessary for the booking.
By providing another person’s personal information, you represent that you are authorised to provide that information or otherwise have a lawful reason to do so.
6. CHILDREN AND PLAYERS UNDER 18 👨👩👧👦
Headshot activities may be available to younger players depending on the activity, equipment, safety requirements and our playing age policy.
However, the handling of personal information belonging to players under 18 may require involvement or consent from a parent or lawful guardian.
Where appropriate, we may require a parent or guardian to make the booking, create or approve an account, provide consent or complete relevant safety documentation.
We do not knowingly use children’s personal information for targeted advertising or behavioural monitoring where such activity is prohibited by applicable law.
Parents or guardians who believe a child has provided personal information to us without appropriate permission can contact Headshot and request that we review or delete the information where applicable.
7. PAYMENTS 💳
Payments may be processed through third party payment gateways, banks, UPI providers or other authorised payment services.
These providers may collect and process information necessary to complete your transaction under their own privacy and security practices.
Headshot may receive transaction information such as:

Refund status
Date and time of payment
We generally do not receive or store your complete card number, CVV, UPI PIN, banking password or similar authentication credentials.
8. WHATSAPP, SMS AND EMAIL
If you provide your mobile number or email address, we may contact you regarding:

New Headshot experiences

Transactional or necessary service messages may still be sent where required to operate a booking or account.

Because Headshot operates adventure and recreational activities, certain information may need to be retained where an accident, dispute, safety incident, disciplinary matter, property damage, complaint or other significant event occurs.
Relevant CCTV footage, booking information, game records, communication records or incident reports may be preserved for longer where reasonably necessary to investigate the matter, protect legal rights, resolve a dispute, comply with insurance requirements or comply with law.
15. PHOTOGRAPHY AND GAME FOOTAGE 📸
Headshot may offer photographs, game recordings, team videos or similar content as part of selected experiences.
We may also occasionally create promotional content at our venues.
Where appropriate, participants will be informed that photography or recording is taking place.
Where consent is legally required for promotional use, we will seek the appropriate consent.
If you have concerns about an image or video featuring you that has been published by Headshot, contact us and we will review the request.
16. USER GENERATED CONTENT
If you upload a profile photograph, review, comment, testimonial or other content, remember that information you intentionally make public may be visible to other people.
Do not upload:
Private information you do not want others to see
Content belonging to another person without permission
Someone else’s personal information without authority
Illegal or abusive material
Content that violates another person’s rights
Headshot may remove content that violates our policies, applicable law or the rights or safety of others.
17. HOW LONG WE KEEP INFORMATION
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected or where retention is required for legal, accounting, taxation, fraud prevention, dispute resolution, security or legitimate business purposes.
Different information may therefore have different retention periods.
For example, booking or transaction records may need to be retained longer than temporary website analytics information.
When information is no longer reasonably required, we may delete, anonymise or securely dispose of it, subject to applicable law.
18. INFORMATION SECURITY 🛡️

Certain requests may be limited where information needs to be retained for legal obligations, fraud prevention, dispute resolution, safety investigations or establishment or defence of legal claims.
We may need to verify your identity before processing a privacy request.
Withdrawal of consent does not necessarily affect processing that was lawfully carried out before consent was withdrawn.
21. ACCOUNT DELETION
Where an account deletion feature is available, you may request deletion through your account or by contacting us.
Deleting an account does not necessarily require Headshot to delete every record immediately.
Certain transaction, booking, safety, fraud prevention, disciplinary or legal records may continue to be retained where reasonably necessary or legally required.
Public profile information associated with a deleted account may be removed or anonymised where appropriate.
22. ACCURACY OF INFORMATION
You are responsible for providing reasonably accurate information when creating an account or making a booking.
Headshot is not responsible for problems caused by incorrect information deliberately or accidentally provided by a user, such as an incorrect phone number, age, email address or booking information, except to the extent required by applicable law.
You may request correction of inaccurate personal information.
23. SECURITY OF YOUR ACCOUNT
You are responsible for maintaining the confidentiality of your login credentials.
You should not share passwords, verification codes or account access with another person.
If you believe your Headshot account has been compromised, contact us as soon as possible.
Headshot may temporarily restrict or suspend access where we reasonably suspect fraud, unauthorised access, abuse or a security threat.
24. LINKS TO OTHER WEBSITES
Our website may contain links to websites or services operated by other organisations.
Headshot does not control the privacy practices, content or security of independent third party websites.
You should review the privacy policies of those services before providing them with personal information.
25. DATA PROCESSING OUTSIDE INDIA
Some technology or cloud service providers used by Headshot may process or store information outside India.
Where this occurs, we will handle such processing subject to applicable Indian law and any restrictions or safeguards that may apply.

This does not limit any responsibility that cannot legally be excluded under applicable law.

Headshot may update this Privacy Policy when our website, services, technology, legal obligations or business operations change.
The latest version will be published on our website together with an updated revision date.

This Privacy Policy and Headshot’s handling of personal information will be governed by applicable laws in force in India, including applicable data protection and information technology requirements as they come into effect.
